ADMINISTRATIVE COORDINATOR I
LIBRARY AND COMMUNICATIONS SPECIALIST
TECHNOLOGY & LIBRARY SERVICES AND COMMUNICATIONS
OPERATIONS BRANCH
SALARY RANGE: $65,437 - $95,693
POSITION: Library and Communications Specialist. The Specialist will be classified as an Administrative Coordinator I and will report to the Deputy IT Director.
SECTION: The Operations Branch manages administrative functions of the City Attorney’s Office. Divisions and Units within the branch include Budget and Finance, Facilities, Technology and Library Services, Grants and Communications.
DUTIES AND RESPONSIBILITIES: The Library and Communications Specialist will assist two units within the Operations Branch: (1) Technology and Library Services (85%) and (2) Communications (15%). The responsibilities of this position include but are not limited to:
- Providing reference and research assistance to attorneys, paralegals and other city staff as requested;
- Reviewing, indexing, classifying and cataloging books and other library materials;
- Preparing periodicals, newsletters and journals for office circulation;
- Working with the Business Office to process invoices for payment;
- Conducting searches using primarily Westlaw, but also other related legal databases and obtaining materials and information from said databases;
- Coordinating with Westlaw to market and deliver monthly training sessions to attorneys and staff;
- Providing recommendations to management for acquisitions of legal publications, both digital and print;
- Assist Director of Communications with development of press materials, including press releases, speeches, talking points, media advisories, op-eds and newsletters;
- Assist Director of Communications with managing City Attorney’s website, social media presence and online content; and
- Other duties as assigned.
REQUIREMENTS: At least one year of full-time professional administrative experience performing duties and responsibilities related to the Administrative Coordinator I position. Additional requirements include:
- Proficiency in the use of personal computers;
- Possess initiative, excellent writing skills, strong organizational and multi-tasking skills;
- Ability to exercise independent judgment, and can work well under pressure and time deadlines with a minimal amount of supervision;
- Ability to work independently, handle multiple priority projects and meet deadlines;
- Excellent written and oral communication skills; and
- Ability to prioritize deadlines in a fast-moving environment.
DESIRED QUALIFICATIONS: A Bachelor’s degree. Applicants should be familiar with Microsoft Word, Excel, Westlaw and Google workspace.
