Under general direction, the selected individual will perform a variety of entry-level clerical tasks relating to the Finance Division or the Information Desk of Cerritos City Hall, working within established guidelines. Work is reviewed upon completion. Performs related work as required.
Job Characteristic: May work a varying schedule of hours which may include early mornings, nights, weekends and holidays.
Examples of Duties
ESSENTIAL DUTIES: When assigned to the Finance Division, responsibilities include:
Stuff bi-weekly payroll and weekly accounts payable checks.
Distribute Payroll checks and Accounts Payable checks to appropriate departments.
Sort and mail Accounts Payable checks.
File cash receipts, paid bills, and other accounting records.
Type labels and prepare file folders.
Organize and maintain a variety of files and filing cabinets, including the vault.
Coordinate storage and retrieval of financial records with City Clerk.
Copy accounting and financial reports for distribution.
Run errands which may require use of personal vehicle.
Data entry tasks.
When assigned to the Information Desk, responsibilities include:
Answer public inquiries in person and on the telephone.
Greet the public and act as a receptionist at the main lobby desk.
Provide information on routine questions and direct complex, technical questions or unusual requests to appropriate staff members.
Take and relay messages.
Perform a variety of specialized clerical duties and other tasks related to the functions of the office or department to which assigned.
Typical Qualifications
Knowledge of:
Modern office practices, including filing procedures and use of office equipment such as copiers, computers and FAX machines.
Computer software programs such as Microsoft Word and Excel.
English usage, spelling, grammar and punctuation.
Receptionist and telephone techniques.
Ability to:
Type with reasonable speed and accuracy.
Operate a personal computer and use basic software.
Meet the public with courtesy and tact.
Establish and maintain effective working relations with co-workers.
Communicate clearly and effectively.
Understand and follow written and oral instructions.
PHYSICAL DEMANDS AND WORK ENVIRONMENT: Work is performed in an office environment and requires sitting for prolonged periods of time. An incumbent stands, walks, and may twist, reach, bend, crouch and kneel. A Clerical Aide may also grasp, push, pull, drag and lift boxes of files and other office items weighing up to 30 pounds. An incumbent must be able to meet the physical requirements of the class and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed.
TRAINING AND EXPERIENCE: Any training and experience which would provide the required knowledge and abilities. A typical way to obtain these would be: graduation from high school and one year of experience performing general clerical duties.
