DESCRIPTION

The City of Long Beach, Department of Health and Human Services is recruiting for an at-will, part-time Clerk Typist III - Non-Career in the Housing Authority Bureau. Reporting to a Housing Assistance Coordinator, this position will provide administrative and programmatic support for the Housing Choice Voucher Program (HCV) and/or special housing programs, including Veterans Affairs Supportive Housing (VASH), Shelter Plus Care, and Housing Opportunities for Persons with AIDS (HOPWA).  Non-career employees are not typically eligible for health/dental/vision benefits; however, they may be eligible for sick leave benefits. Non-Career employees are limited to 1,600 work hours per service year (approximately 29 hours/week) and are not guaranteed a minimum number of work hours. This position is located at the Housing Authority of City of Long Beach, 1500 Hughes Way Suite A-150 Long Beach, CA 90810.

EXAMPLES OF DUTIES

  • Logs, tracks and maintains detailed and accurate records on applicants, clients, owners and rent data;
  • Reviews eligibility and affordability information and assists in determining reasonable rents;
  • Performs data entry for an automated record keeping system;
  • Handles, reviews and secures confidential client information;
  • Assists in scheduling Inspections with participant, owner/landlord;
  • Assists in the research of various housing and participant issues;
  • Assists in the preparation of reports and correspondence;
  • Calculates tenant's rent payment and housing assistance payment;
  • Studies and reviews violations of tenant obligations and responsibilities;
  • Establishes and maintains alpha, numeric and chronological files;
  • Operates office machines;
  • Makes basic mathematical computations;
  • Interprets and applies departmental policies and procedures;
  • Provides support to the front desk/reception by greeting, welcoming and directing guests appropriately;
  • Answers income phone calls to the reception, customer call center and provides support for frequently asked questions;
  • Opens and distributes mail;
  • Interfaces with other departments, the public, vendors, and outside agencies in person or by telephone;
  • May compose correspondence, write desk manuals, compile information, and prepare reports; and,
  • Performs other related duties as required.

REQUIREMENTS TO FILE

  • The ability to type neatly and accurately at a net speed of 40 words per minute.
  • The ability to file in alphabetical and numerical order and perform clerical detail, which includes making simple mathematical computations and correcting error in grammar, spelling, and punctuation.
  • The ability to work cooperatively with other employees and the public.

DESIRABLE QUALIFICATIONS:
  • Some college-level coursework, certification, or degree.
  • Experience working for a public housing authority.
  • Highly organized and ability to multi-task high level and confidential projects; Proactive self-starter with the ability to resolve complex issues.
  • Dedicated to excellence and quality service.
  • Strong writing skills.
  • Proficient with Microsoft Office Suite computer programs (Word, Excel, Outlook) and a willingness to learn new programs.

  • Proficiency in the use of computers, including email, internet, and office productivity software (e.g. Microsoft Word, Excel, Outlook, and Powerpoint)
