Note: The City is looking to fill one (1) part-time Senior Account Clerk position. The typical number of hours worked per week is twenty-eight (28), no benefits are afforded.
Job Summary:
Under general supervision, performs highly responsible clerical work in financial systems and functions including a complex payroll and/or purchasing; compiles and types statistical reports; performs difficult and general clerical functions and related duties as required.
Examples of Duties
Essential Functions:
Prepares and processes requisitions for purchase orders or payment; types specifications; obtains quotes and places orders for standard supplies and assists in other purchasing activities as required; verifies and processes all invoices for payment and charges appropriate department and account.
Establishes and maintains purchasing record files for purchase order controls, bid folders, equipment service agreements and vendor lists; follows up on late, damaged or improper deliveries; responds to telephone and personal inquiries from vendors.
Serves as department timekeeper, maintains payroll files; balances and reconciles payroll records; and distributes payroll to appropriate salary account.
Collects data for special studies and projects and assists in preparing annual budget figures.
Coordinates accounting activities with other departments and governmental agencies.
Maintains project equipment or other cost records by allocating and posting time and charge from advice memos from other departments.
Operates a computer and peripheral equipment; maintains financial records and related data in accordance with departmental policy.
Conducts research and calculates initial budget figures.
Supervises and trains subordinate clerical personnel.
Required Knowledge, Skills, & Abilities:
Knowledge of principles and practices of complex financial record keeping; basic budgeting principles and practices; office procedures and methods; arithmetic and elementary statistical procedures; and bookkeeping, accounting, and financial record keeping terminology.
Ability to understand and interpret principles, laws, and procedures involved in accounting and financial record keeping; prepare financial reports; communicate effectively, orally and in. writing; operate a computer; analyze data and draw sound conclusions; and exercise sound independent judgment.
Typical Qualifications
Experience:
Three (3) years of clerical experience of which two (2) years must have included the maintenance of financial, fiscal, and related statistical records.
Skills:
Keyboard (type) at 40 words per minute. Use of adding machines and computer in conjunction with recordkeeping.
Physical Requirements:
This position requires extensive and repetitive physical activity involving the arms, wrists, and hands, including writing and using a keyboard. It also requires physical abilities associated with the ability to read, write and communicate in a work environment requiring no extraordinary physical strength or other special physical qualifications.
Licenses/Certificates:
A valid California Driver's License with a satisfactory driving record are required.
