The City of Anaheim Planning Department seeks a team-oriented Part Time Intermediate Clerk to provide clerical support to the Building Division.  The Intermediate Clerk will ensure that our customers receive prompt and professional assistance.  Candidates must possess journey level experience in performing a full range of clerical duties, including maintaining schedules and calendars, expertly maintain a multi-line telephone system to answer and coordinate a high volume of inquiries, and provide face-to-face customer service in an office setting.
 
Ideal candidates will possess experience in supporting managers and staff, have strong knowledge of utilizing computed business databases to compile reports, and experience in providing clerical support assistance to multiple management and staff personnel.  Knowledge of municipal building permit / planning counter staff assistance experience is a plus.
 
This is a part-time position usually averaging 20-30 hours per week.  A minimum number of hours is not guaranteed.

Essential Functions

Duties may include, but are not limited to the following:
 

  • Provide clerical support and permit counter assistance to the public and City.
  • Answer multi-line telephone and route calls to appropriate personnel; provide information on departmental and City policies and procedures as required.
  • Maintain accurate and up-to-date manual and computerized files and records; monitor various logs, accounts, reports and files for current and accurate information; verify quality of laser fiche documents.
  • Type, proofread and word process a variety of correspondence, letters, forms, memoranda and documents from rough draft or verbal instruc­tion; compile data and prepare various reports.
  • Receive, sort and distribute incoming and outgoing mail and correspon­dence; distribute incoming fax to appropriate personnel.
  • Maintain Outlook calendars; schedules of appointments, meetings, room use, equipment use and events.
  • Operate a variety of office equipment including a copier, typewriter, calculator and computer; utilize various software to enter, modify, or retrieve data; input timekeeping and payroll data.
  • Maintain inventory of forms, office supplies and other general supplies and order supplies as needed; file documents and plans.
  • Compile information for a variety of narrative and statistical reports for financial and inter-department transactions; locate sources of information, devise forms to serve data and determine proper format for finished report; run automated systems queries to input data into Excel spreadsheets.
  • Make and check arithmetic calculations; enter data for division invoices. 
Perform related duties and responsibilities as required.

Qualifications

  • Possess a varied journey level clerical work.

  • Demonstrate knowledge of modern office methods, procedures and computer equipment; basic principles and procedures of filing and record keeping; basic principles of customer service. Principles of business letter writing and basic report preparation; English usage, spelling, grammar and punctuation; basic arithmetic.

  • Have the ability perform general clerical work including filing, typing and answering phones. Type and/or enter data on a computer at a speed necessary for successful job performance. Receive, process and distribute incoming and outgoing mail. Operate a variety of office equipment including computers and supporting word processing applications. Provide detailed information to the public regarding assigned area of responsibility. Correctly interpret and apply City policies and procedures. Communicate clearly and concisely, both orally and in writing. Establish and maintain cooperative working relationships with those contacted in the course of work.
