Description

Under general supervision, assists in performing a variety of office support functions, including clerical, cashiering, customer service, recordkeeping, and program support functions; and performs related duties as required.

Essential Functions

The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the class.

  • Assists public with questions related to services and programs; receives, refers, and directs callers and visitors to appropriate departments and personnel.
  • Processes payments for parking citations, building permits, and bus pass sales.
  • Receives and records business license renewal payments; organizes new files and mails business license applications.
  • Assists with the tracking and processing of passports applications.
  • Assists with the reproduction and distribution of City Council and Commission agenda packets and records.
  • Organizes, copies, and archives documents.
  • Scans parking citations and other records.
  • Prepares basic correspondence and follow-up notes.
  • Assists with preparation and posting of agenda packets for City Council meetings; attends and prepares meeting minutes; assists with public records requests; updates City website; assists City Clerk’s office with general filing and records management; and other duties as assigned.

Qualifications Guidelines

Knowledge of:
Office practices and procedures, including the use of standard office equipment, basic record keeping practices, basic math, cashiering procedures; records administration practices; customer service techniques.

Ability to:
Operate a computer using word processing and spreadsheet software; type accurately at a speed necessary to meet the requirements of the position; organize and maintain office records and specialized files; compose routine correspondence from brief instructions; communicate clearly and effectively orally and in writing; understand and follow written and oral instructions; prepare clear, accurate and concise records and reports; use tact and discretion in dealing with sensitive situations and concerned people and customers; establish and maintain effective working relationships with staff, management, and others encountered in the course of work.

Education/Training/Experience:
A typical way of obtaining the knowledge, skills and abilities outlined above is high school graduation or G.E.D. equivalent and six months to one year of increasingly responsible office administrative or customer service work; or an equivalent combination of training and experience.

Licenses, Certificates; Special Requirements:
Depending upon position assignment, a valid Class C California driver's license and the ability to maintain insurability under the City's Vehicle Insurance Policy. Must be able to provide a valid work permit.

In accordance with California Government Code Section 3100, City of La Puente employees, in the event of a disaster, are considered disaster service workers and may be asked to protect the health, safety, lives, and property of the people of the State.

Supplemental Information

Physical Demands
While performing the duties of this class, the employee is constantly required to sit, and occasionally to stand and walk. Finger dexterity and light grasping is required to handle, feel, or operate computer hardware and standard office equipment; and reach with hands and arms above and below shoulder level. The employee occasionally bends, stoops, lifts, and carries records and documents, frequently weighing less than 20 pounds. Occasionally, the employee may move file boxes weighing up to 50 pounds. Sensory demands include the ability to see in the normal range, talk, and hear, and use electronic touch keypads.

Mental Demands
While performing the duties of this class, employees are regularly required to use written and oral communication skills; read and interpret data, information and documents; analyze and solve problems; observe and interpret situations; learn and apply new information or skills; work on multiple, concurrent tasks while meeting deadlines; and interact with management, staff, contractors, vendors, and the general public.

WORK ENVIRONMENT
The employee frequently works in an office environment with controlled temperature settings. The noise level is moderate, typically below 70 decibels.
