The Position

Under general supervision, performs moderately difficult clerical work in the Police Department.  This position may be assigned to the Records, Administration or Line Operations Bureau.   A Police Clerk types, files, processes, indexes, maintains, retrieves and distributes records and reports of documented police incidents within the City; processes subpoenas, warrants and various types of citations; compiles crime statistics and information; operates state and national law enforcement computer systems, inputs, checks and updates data in the Records Management System; provides information and assistance to citizens at the public counter; explains and interprets law enforcement regulations, policies and procedures; obtains information at the public counter and writes routine reports of police incidents; processes and transmits complaints for court appearances; accepts payment of fees and prepares checks for bail monies; types search warrants; processes invoices for payment, arranges and schedules meetings and appointments, may process payroll records for the Department; orders supplies, maintains office files; acts as receptionist for the Bureau, screens callers for staff; acts as Matron and searches female prisoners when required; may act in the records bureau supervisor's absence, and performs other duties as assigned.  This position works rotating shifts, including nights, weekends and holidays.

This position may work up to 19 hours per week and benefits are not provided. This is a part-time, at-will position.

QUALIFICATIONS

Knowledge of office methods, practices and procedures including business correspondence, filing and telephone answering techniques; correct grammar, punctuation and spelling, modern office equipment such as computers, word processing, dictation transcription, typewriters, etc.  Skills/Abilities - Type at a minimum net speed of 45 words per minute, transcribe from audio dictation, code, file and retrieve information with speed and accuracy; make simple arithmetic computations; understand and follow oral and written instructions; learn, interpret and apply law enforcement policies; work cooperatively, tactfully and courteously with others; learn geography of the City. Education & Experience - Any combination of training and/or experience, which provides the required knowledge, skills and abilities, is qualifying.  A typical way to obtain the knowledge, skills and abilities would be: graduation from high school or equivalent, supplemented by coursework in business, records management or accounting and one year experience in office clerical work.

NOTE:  The typing certificate is not required at this time. Applicants that do have a five-minute timed typing test certificate from an approved agency should submit the certificate with their application. The certificate must indicate the name of the institution where the certificate was obtained, the date, the signature and title of the person verifying the typing test and the phone number. Internet typing tests/certificates are not accepted.  The certificate must be issued and dated within four years of the application date. If you are not able to obtain or provide a typing certificate dated within four years of the application date, the City will facilitate a time where a typing test can be conducted sometime during the selection process for candidates who move forward in the process.

SELECTION PROCESS

Candidates whose education and experience are determined to best meet the needs of the City will be invited to the Oral Board Interviews. Meeting the minimum requirements does not guarantee an invitation to further testing.

After a conditional job offer is made, the candidate must pass a pre-employment background and medical examination, including a drug/alcohol screen. Applicants with legal disabilities who require special testing arrangements must contact the Human Resources Department at least five (5) days prior to the examination date.
