DEFINITION

Provides a wide variety of general clerical duties and program support related to Economic Development/Community Events and other divisions, utilizing independent judgment and initiative consistent with direction provided to assist with the smooth operation of the organization.

SUPERVISION RECEIVED AND EXERCISED

Receives direct or general supervision from the Business and Economic Development Director or other assigned management personnel. May receive technical and functional direction from a higher-level clerical position. Exercises no direct supervision over staff.  May exercise technical or operational direction and provide training to other staff.

ESSENTIAL JOB DUTIES

Essential duties may include, but are not limited to the following:

  • Proficiently type, format, proofread for accuracy, correct form, content, spelling, grammar, and syntax, and process various documents, including general correspondence, customer-related correspondence, staff reports, memos from rough draft or verbal instruction, and marketing materials.
  • Utilize various software to help create graphics, compile and analyze data, etc.
  • Serve as a website content manager for various departments, including updating content, creating webpages, and ensuring ADA compliance and consistency with the overall website content communication theme.
  • Coordinate with Town photographer for employee photographs.
  • Copy, collate, compile, bind and distribute simple/complex reports, and upload to file retention software (i.e., Granicus, Laserfiche).
  • Assist in the development of Economic Development efforts, including the analysis of employment, retail, and economic data; collect and maintain information from various documents and/or staff; compile data for reports as assigned.
  • Assist in the development and implementation of new and revised programs, systems, procedures, and methods of operation related to Economic Development or Community Events.
  • Assist in processing local grant programs for businesses, including evaluating applications, data entry, and processing reimbursement requests; process/track grant requests for businesses.
  • Serve as an information source to inquiries as assigned and otherwise assist in representing the department by telephone or in-person, including periodically serving the public at the front counter.
  • Open, sort, and distribute incoming correspondence or mail and conduct mailings as needed.
  • Schedule and coordinate meetings and travel arrangements; maintain calendars; attend meetings and conferences as required.
  • Perform other duties as assigned.

QUALIFICATIONS

Knowledge of:

  • Intermediate knowledge of Adobe Acrobat, MS Office, including Outlook, Word, Excel, PowerPoint, Access, Photoshop, and familiarity with other tools such as Canva, SmugMug, and updating website content.
  • Research and reporting methods, techniques, presentation, and procedures.
  • Modern office methods, practices, procedures, copier, and computer equipment.
  • Correct English usage, spelling, grammar, syntax, and punctuation.
  • Business letter and report writing.

Ability to:

  • Manage multiple tasks and adapt to changing priorities or job responsibilities.
  • Communicate clearly and effectively in both oral and written form.
  • Understand and follow a variety of oral and written instructions with minimal supervision.
  • Manage time effectively, be mindful of deadlines; work flexible hours, including occasional evenings and/or weekends as needed.
  • Embrace technology and be willing to learn various software to perform assigned tasks.
  • Apply operating rules and procedures of assigned department(s).
  • Establish and maintain effective work relationships with colleagues.
  • Understand and perform routine accounting procedures.
  • Consistently perform accurate, detailed work.
  • Establish and maintain basic financial records; make mathematical computations.
  • Interpret, explain, and apply operating policies, procedures, and guidelines of the Town and department.

EXPERIENCE AND EDUCATION

Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Experience:

Three (3) years of increasingly responsible clerical work.

Education:     

The equivalent of the successful completion of the twelfth grade; an associate’s or bachelor’s degree preferred.
