Basic Function

Under the direction of the assigned administrator, perform technical duties in support of District and State student assessment programs and activities; support District staff with assessment testing processes, schedules, data collection, reporting, and distribution activities; update and maintain student assessment data in the student information system and other databases.

Essential Functions

Perform technical duties related to District and State student assessment programs and activities; assist the administrators in the coordination, preparation, distribution, data collection, and reporting of numerous State-mandated, organizational and special tests.
 
Interpret rules, regulations and procedures related to the testing program; read manuals; remain current on District, State, federal and individualized test requirements; research State testing regulations and guidelines.
 
Maintain and update student records in assigned systems; prepare a variety of records and reports related to assigned activities as directed; purge and maintain files according to established procedures; submit reports to the California Department of Education as appropriate according to established timelines; collect, process, package and coordinate shipping of testing materials to the State for scoring.
 
Create District-wide pre-ID student reports for assigned State-mandated tests; identify students for pre-ID and late pre-ID creation services electronically; follow-up with incomplete student data as appropriate.
 
Provide training and instruction for administering State-mandated tests; provide support to sites during testing activities; assist with distribution of test materials; manage logins and passwords.
 
Download, clean up result files, and import test results into appropriate system; maintain and assure data integrity; assist sites with data issues, query creation and data reporting; monitor and update roster upload script as necessary.
 
Perform administrative tasks in support of the office including responding to e-mails and phone inquiries and duplicating materials.
 
Communicate with students, staff, outside agencies and administrators to coordinate activities and disseminate information related to assigned activities.
 
Order testing or office materials and supplies as needed.
 
Oversee reporting activities, data requests, testing timelines and calendars to assure data is available when needed; receive and respond to e-mail requests and correspondence; prepare and maintain records related to assigned activities.
 
Operate office equipment including a copier, fax machine, telephone, computer and assigned software applications; drive a vehicle to various sites to pick up or deliver testing materials.

KNOWLEDGE OF:
Methods, practices and terminology used in test administration.
Modern office practices, procedures and equipment. 
Technical aspects of the school testing field.
Applicable laws, codes, rules and regulations.
Operation and use of computer and assigned software applications.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Record-keeping, filing and proofing techniques.
Oral and written communication skills. 
Interpersonal skills using tact, patience and courtesy. 
Telephone techniques and etiquette. 
 
ABILITY TO:
Perform technical duties in support of District and State student assessment programs and activities.
Answer telephones and greet visitors.
Assist the administrator in the coordination, preparation, distribution, collection and scoring of numerous State-mandated, organizational and special tests.
Work independently with little direction. 
Interpret and apply laws, codes, rules and regulations related to testing programs.
Operate a variety of office equipment including computer equipment.
Type or input data at an acceptable rate of speed.
Communicate effectively both orally and in writing. 
Establish and maintain effective working relationships with others. 
Develop and meet schedules and time lines. 
Complete work with many interruptions.

Education & Experience Requirements

Any combination of education and/or experience equivalent to: High school diploma or equivalent, bachelor’s degree in a related field desirable and three (3) years of responsible District and State data management systems, including experience in the maintenance of complex records.
 
LICENSES AND OTHER REQUIREMENTS:
 
Valid California driver’s license.

Selection Process

The examination process for this recruitment may be comprised of one or any combination of the following:  screening of the applicant's training, background, and experience; scored evaluation of responses on a supplemental application; written examination(s); qualifications appraisal oral examination; performance examination; or technical oral examination, scored on a job-related basis.  Only the most highly qualified candidates will be invited to continue in the examination process.  Successful candidates who pass all parts of the examination process will be placed on the eligibility list in order of their relative merit as determined by these competitive examinations.

  Dates are tentative, but it is highly recommended that you plan your calendar accordingly. No Make-Up dates will be offered.
  Other Important information:  The duration of the eligibility list is one (1) year unless extended by the Personnel Commission. The eligibility list from this recruitment will be used for full-time, part-time and limited term positions.
 
  New employees to the district are placed on step A of the salary schedule. The maximum salary is reached after 3 ½ years of employment.
  Recruitments that list Promotional and Open Competitive opportunities may result in one of the following: 1) a dual-certified list in which internal employees of the San Lorenzo Unified School District are awarded seniority points to their final passing score before placement on the eligibility list, or 2) two separate eligibility lists consisting of candidates on a promotional only list and an open list. In the latter case, candidates on the promotional list are referred to the hiring authority before candidates on the open. However, where less than three ranks exist on the promotional list, the open list will be utilized to complete a total of three ranks.
