Under general supervision, performs a variety of clerical and administrative functions in support of the La Mirada Theatre and departmental operations.
Typical Duties Performed
(These examples do not include all the duties, which may be assigned.)
Performs clerical and secretarial duties in support of daily Theatre operations.
Answers incoming phone calls, greets visitors at the door, responds to phone calls and emails to rent the Theatre or Rehearsal Hall and appropriately routes phone calls.
Assists Department Secretary with tours of the Theatre and Rehearsal Hall.
Maintains and updates contract files.
Sorts incoming mail, maintains copy machine and office supplies.
Daily delivery and pick up of mail from City Hall which includes timesheets and payroll.
Assists with and manages special projects and events held at the Theatre and Rehearsal Hall.
Schedules appointments, arranges meetings, and assists with maintaining the Theatre and Rehearsal Hall calendar.
Prepares reports, memos and correspondence as needed.
Processes and tracks payments efficiently and accurately.
Maintains the personnel and information boards located in the Administrative division.
Must exercise good judgement, have excellent customer service skills, possess excellent written and oral communication skills, and have an interest in the Arts.
Adheres to City and departmental policies and procedures; performs related duties as assigned.
Minimum Qualifications
Knowledge of: Microsoft Office software including Outlook, Word and Excel, and Access; business English, including vocabulary, grammar, spelling, and punctuation; record keeping procedures; customer service skills; and general office operations.
Ability to: Possess and employ an exceptional demeanor with various performing arts groups and the public, exercise good judgement, courtesy, and tact with the staff and public; communicate clearly and concisely, and elicit information with tact and patience; willingness to learn new programs as needed; adhere to prescribed routines and perform repetitive clerical functions; present a professional appearance
EXPERIENCE AND EDUCATION:
Experience: Two (2) years of clerical or administrative experience including typing, data entry or related duties is required.
Education: Graduation from high school or the equivalent is required.
LICENSE OR CERTIFICATE:
Possession of a valid California Class C Driver License is required.
A typing certificate issued within the last 6 months by an employment or school agency with a minimum skill of 50 wpm net is required with application submission. The certificate must be on official letterhead from the agency and must include a phone number and contact person for verification purposes. Online/Internet certificates will not be accepted.
