Description

Under general direction of a police supervisor or manager, is assigned specialized tasks to facilitate the daily administrative related functions associated with a specialized investigative and/or prosecutorial detail. Assignments require frequent written and oral interaction with a wide range of representatives of inter-agency personnel, as well as other local, state and federal agencies and members from the residential and business communities. Assignments include the completion and management of investigative data, preliminary review of criminal and/or administrative violations/procedures, comple-tion of criminal and/or administrative reports for submission to the Chief of Police, City Manager and/or District Attorney's Office. Represents the City in administrative and/or criminal proceedings.

Examples of Duties

ESSENTIAL DUTIES
Progressive administrative responsibilities that include regular clerical duties, such as typing, word processing, calculating, filing, and information retrieval from internal and external databases. Writes and reviews basic administrative reports, applications and documents. Prepares and maintains automated and manual filing and index systems necessary for the proficient operation of a specialized detail and other police operations;. Prepares court and legal documents. Prepares letters and reports to authorized persons or agencies. Answers inquiries via telephone, mail, fax, computer, or in person. Other duties as designated by the Chief of Police.

Typical Qualifications

EDUCATION AND EXPERIENCE
Graduation from high school or GED, AND two (2) years of progressive office/clerical experience and responsibilities. Prior experience with a law enforcement or investigative-type agency is highly desirable. The ideal candidate will have a demonstrated ability and history to think and perform independently consistent with organizational goals; be highly energetic, self-motivated and self-disciplined; college or specialized training in computer use and communication (written and oral) skills are desirable; bilingual abilities highly desirable.

LICENSE
Must have and maintain a valid Class C California Driver's License.

ORGANIZATIONAL RESPONSIBILITIES
As part of a specialized investigative or administrative detail, the position serves as a representative and/or liaison with City personnel (Police and other Departments) to generate, improve and maintain appropriate records systems necessary for the effective operation of the specific detail; assists other Police Department personnel with specialized administrative and clerical functions, management of administrative and/or minor criminal investigations, report writing, processing of court documents, property control, subpoenas, warrants and citations and other related matters.

KNOWLEDGE, ABILITIES AND SKILLS
Ability to understand and facilitate the Department's mission, objectives and operations of the Police Department and the goals and objectives of a specialized detail; must have knowledge of modern office methods, report-writing, proper English vocabulary, grammar, spelling and punctuation; must be trained in indexing and cross-referencing procedures and creation of orderly permanent filing systems with an increasing emphasis on paperless or computerized processes; capable of operating office machines including personal computer, typewriter, telephone systems, fax, scanner, calculator, microfiche and photocopy equipment; knowledgeable in Microsoft Word, Excel and Outlook is preferred.
