The Technology and Innovation Department (TID) is seeking qualified applicants, for a permanent, full-time unclassified Clerk Typist III position to support the department’s Business Operations Bureau. This is a demanding position that encompasses multiple facets of administrative duties. This position reports directly to the managers of the Business Operations Bureau, which oversees the finance, personnel, and communication operations for the department. TID is a fast-paced, responsive, and adaptive organization that requires focused, proactive, and flexible staff to achieve its goals and priorities.
EXAMPLES OF DUTIES
Composes, types, edits and proofreads correspondence, reports, and documents;
Provides primary support to managers of the Business Operations Bureau;
Manages calendars, prioritizing urgent meetings, and schedules many internal and external meetings;
May liaison with the Human Resources Department, Financial Management Department, City Clerk, City Attorney and other Departments to coordinate document review, routing, and signatures;
Coordinates and tracks Department workflow including requests for information, reports, and assignments;
Assists with department timecard entry during the absence of the Payroll Personnel Assistant;
Assists with accounts payable functions and invoice tracking coordination;
Assists with placing orders with vendors, and compiling and maintaining records of items purchased in IT service management system;
Assists with responding to requests submitted to department via IT service management system to clarify needs ad specifications with requestors prior to conducting informal bid solicitation or placing orders against contracts;
Helps direct phone calls, assist visitors, and distribute mail;
Maintains electronic and hardcopy files;
Coordinates special projects; and
Performs other related duties as required.
REQUIREMENTS TO FILE
MINIMUM QUALIFICATIONS: The ability to type neatly and accurately at a net speed of 40 words per minute; the ability to file in alphabetical and numerical order and perform clerical detail, which includes making simple mathematical computations and correcting error in grammar, spelling and punctuation; and the ability to work cooperatively with other employees and the public.
DESIRABLE EDUCATION AND EXPERIENCE
Two years of progressively responsible administrative assistant experience.
Associate’s degree or higher from an accredited U.S. college or university.
Experience supporting executive/senior management or leadership in a corporate, legal, non-profit, community service or public service setting is highly desirable.
Previous experience with administratively supporting business operations (i.e., human resources, finance, contract, and/or legal administrative processes) is also desirable.

Ability to complete projects independently, follow directions and ask clarifying questions as necessary.
Strong inclination to understand technology and software.
Proficient with Microsoft Office Suite computer programs (Word, Excel, Outlook) and a willingness to learn new programs.
