Job Description
Work under direct supervision to ensure payments are processed accurately and timely. Participate in the general accounting functions and coordinate work with Accounting and other departments. The Accounting Clerk will work following specific procedures.
Position Responsibilities:
• Confirms claims check run totals and release batches for printing and mailing.
• Obtains second signatures on checks and mail out.
• Processes check tracer.
• Verifies check status with bank, void, and log checks.
• Inputs and processes invoices and/or expense reports and payments.
• Endorses and mails out CrossOver payments and remittance advices.
• Mails out accounts payable checks.
• Filing of accounts payable vouchers.
• Refunds check processing.
• Processes checks returned in the mail.
• Prepares binders.
• Coordinates calendar for department directors; including scheduling appointments, meetings and speaking engagements, must exercise discretion in committing time, evaluating needs, and making meeting arrangements.
• Answers telephone calls and meet visitors, answering a variety of questions with tact and diplomacy; triage calls to appropriate staff for resolution.
• Handles all incoming correspondence and maintain all outgoing correspondence per administrative policy.
• Other projects and duties as assigned.
Required Skills
• Interact with outside entities and CalOptima staff at all levels.
• Audit documentation for accuracy and completeness.
• Meet strict deadlines.
• Maintain a tracking system for invoices/vouchers.
• Maintain adequate controls over confidential records.
• Data entry with high accuracy rate.
• Communicate clearly and concisely, both verbally and in writing.
• Utilize computer and appropriate software (e.g. Microsoft Office: Word, Outlook, Excel, PowerPoint) and job specific applications/systems (e.g. Great Plains) to produce correspondence, charts, spreadsheets, and/or other information applicable to the position assignment.
Experience & Education:
• High school degree or equivalent required.
• 1+ year of experience in data entry and/or administrative duties required.
Preferred Qualifications:
• Bachelor’s degree in Business Administration, or related field or equivalent combination of education and/or experience in Accounting preferred.
• 1+ year of experience in Clerical Accounting preferred.
Knowledge of:
• Practices and techniques related to accounts payable.
• Methods and techniques for organizing and implementing processes.
