DEFINITION: Under the authority of the IT Director, the Information Technology (IT) Operations Coordinator is responsible for the management and administration of IT Department office operations and vendor activities. Vendor management includes oversight of the Department's multifaceted contracts and service agreements. Performs complex and analytical reviews, and monitors contractor and vendor performance and compliance to established contract terms, conditions, and expenditure requirements.
Examples of Duties / Knowledge & Skills
Manages the operational activities of the IT department including maintaining oversight of the department's multifaceted contracts and service agreements
Determines appropriate solicitation methods to contract for technology goods and services, and make recommendations as needed
Monitors contractor and vendor adherence to established contract terms, conditions, and expenditure requirements.
Evaluate contractor and vendor performance; develop and administer needs assessments tools for contractors and vendors to ensure compliance to contract terms and conditions.
Provide technical and contractual assistance in support to contractors, vendors, agency personnel and departments.
Acts as primary point of contact for contractors and vendors; mediate and resolve questions and concerns related to contract terms and conditions.
Develop relationships and work effectively with agency staff to document a common understanding of scope of work for respective agreements and/or contracts
Establish and maintain accurate files and recording systems for contract related data,
including developing contract databases
Provides departmental support and responds to requests for project information from various internal departments and external partners
Reviews, analyzes, evaluates and summarizes complex data, policies, practices, systems, procedures, budgets and develops detailed reports on findings and provides recommendations
Coordinate the organizational, scheduling, and operational activities of IT vendor services within the department
Hold and participate in group meetings; may direct the work of IT Department staff
Perform other related duties as assigned.
Minimum qualifications & Requirements
MINIMUM REQUIREMENTS: A combination of education, training, and experience which demonstrates the ability to perform the duties of the position which includes:
Education: Bachelor's degree in Business Administration, Finance, Accounting, Management Information System, Information Technology, Computer Science, or a closely related field
Experience: Minimum two (2) years of demonstrated experience in any of the following focuses: Management Information System, Information Technology, Contract Management, Accounts Payable, General Accounting, or Budgeting.
License or Certificate: Must possess a valid California class 'C' driver's license. Supplemental information
