Under the direction of the Monitoring and Compliance Associate Director, this position is primarily responsible for ensuring the smooth operations of the Monitoring and Compliance division within Los Angeles Homeless Services Authority (LAHSA) Finance Department by providing administrative support to Department staff.
Essential Job Functions
Maintain a tracking and filing system for Division documents.
Categorize and maintain databases and excel spreadsheets of various types of correspondence, including tracking deadlines.
Create and update Division folders and binders.
Creates and maintains correspondence templates.
Provides secretarial and clerical support, including ordering supplies.
Prepares and proofreads document drafts.
Maintains Associate Director, Compliance Managers, and Division calendars.
Respond to general inquiries concerning Division activities.
Organizes and maintains Division files so they can easily be accessed and inter-referenced.
Maintains up-to-date files on compliance and monitoring visits. Locates and attaches appropriate files to correspondences.
Collaborate with the LAHSA IT Department to ensure equipment is functional and efficient.
Assist with onboarding new staff by preparing workspace and linking with key systems.
Schedules meeting and take notes at meetings as required by Division.
Assists in preparing and compiling monitoring reports and other compliance-related reports for the Division as needed.
Maintain and update operational procedures.
Assume other responsibilities as assigned.

Excellent written and verbal communication skills, including the ability to express technical concepts clearly to both technical and non-technical audiences.
Strong organizational skills with a strong attention to detail.
Intermediate level of computer software programs specifically, Microsoft Office (Outlook, Word, Excel, and SharePoint).
Ability to simultaneously manage multiple projects and timelines.
Advanced communication skills, and the ability to communicate internally and externally.
Demonstrated ability to work with diverse community and organizational groups.
Training & Experience
Requires 3 years experience; Associate Degree is strongly preferred; however, an equivalent combination of applicable training and experience may be substituted for education requirement.
Salary Range: $15.46 - $22.41 per hour Appointments are typically made between the minimum and the midpoint of the range, depending on qualifications.
