QUALIFICATIONS

RECRUITMENT DETAILS:

  • The anticipated opening is a 100% FTE; 202 school calendar workdays meaning it is a FULL TIME position working 40 hours per week during the school calendar with time off during the summer break; and we will be establishing an Eligibility List for future openings.

  • The recruitment will be run as Open and Promotional (open to current employees, employees on the reemployment list, and the public). This will result in an eligibility list with successful promotional candidates ranked first, above outside candidates.

  • We will initially be testing only the FIRST 100 applicants that apply and successfully pass the supplemental questionnaire.

EDUCATION AND EXPERIENCE:

Any combination equivalent to

  • Graduation from high school including or supplemented by course work in office practices.

  • Two years of general clerical experience including the maintenance of a variety of records and files.

KNOWLEDGE OF:

  • Modern office practices, procedures and equipment;

  • Record keeping techniques;

  • Correct English usage, grammar, spelling, punctuation and vocabulary;
  • Oral and written communication skills;

  • Interpersonal skills using tact, patience and courtesy;

  • Telephone techniques and etiquette;

  • Operation of a computer terminal;

  • Basic first aid techniques.

ABILITY TO:

  • Learn methods, procedures, policies and terminology used in accounting for student attendance and maintaining permanent student record;

  • Establish and maintain cooperative and effective working relationships with others;

  • Keyboard at an acceptable rate of speed;

  • Meet schedules and time lines;

  • Maintain a variety of records and files;

  • Communicate effectively with students, staff, parents and the general public;

  • Learn and apply applicable sections of State Education Code and other applicable laws;

  • Complete work with many interruptions;

  • Administer first aid to ill or injured children as needed;

  • Demonstrate mental acuity sufficient to perform the essential functions of the position;

  • Demonstrate empathy, friendliness, patience and responsibility;

  • Some positions in this classification may require a standard Red Cross First Aid Certificate, as well as meeting requirements to keep certificate current.

FUNCTION & DUTIES

BASIC FUNCTION:

Under the direction of an assigned supervisor, prepare and maintain records related to student attendance and permanent records; enter and update information on a computer terminal; perform a variety of clerical duties in support of school office operations.

REPRESENTATIVE DUTIES:

  • Provide accurate reporting for daily period-by-period attendance of students; process and verify student absence information from parents and teachers. Issue various excuses to students for absence from class; issue admission slips for students. E

  • Communicate with students and parents regarding attendance and related issues; make and receive phone calls and notes regarding student absences. E

  • Provide student attendance information to staff, parents and authorities as requested; receive phone calls from concerned parents; explain District policies and state regulations regarding school attendance and enrollment. E

  • Maintain accurate records of student attendance; prepare a variety of records and files regarding student attendance, tardiness, truancy, suspension and discipline. E

  • Refer serious attendance problems according to established procedures; assist in identifying and resolving problems of students with frequent absenteeism. E

  • Operate a computer terminal to enter, update, revise and process information; generate lists and reports as requested. E

  • Maintain permanent student records including a variety of materials such as grades, test scores, referrals, class schedule changes, suspensions and other pertinent data. E

  • Request records of new students from former schools; establish cumulative folders and transcript cards. E

  • Review enrollment forms for accuracy and completeness and process in accordance with established procedures. E

  • Enter academic, demographic, and personal student data on a computer terminal; update changes of address, phone number and program as needed. E

  • Respond to written, telephone and personal requests for student information in accordance with District policies and guidelines; transmit former student records to other schools as appropriate. E

  • Communicate with faculty, advisors, parents, students and others regarding student enrollment, withdrawal, course work, disciplinary action and attendance. E

  • Operate a variety of office machines and equipment including typewriter, copier, computer terminal, fax, and scanner. E

  • May be required to administer first aid to ill and injured students in accordance with established procedures. E

  • Must demonstrate attendance sufficient to complete the duties of the position as required. E

  • Assist students, faculty and administrators; provide information and perform a variety of clerical duties in support of school office operations and perform related duties as assigned.

WORKING CONDITIONS

ENVIRONMENT:

School office environment; considerable distraction and noise from constant interruptions and office activities.

PHYSICAL ABILITIES:

Dexterity of hands and fingers to operate a computer terminal and standard office equipment; sitting or standing for extended periods of time; hearing and speaking to exchange information in person or on the telephone; and seeing to read and review enrollment forms and other documentation.
