GENERAL STATEMENT OF DUTIES

Under general supervision, provide technical assistance and training to users regarding data processing system applications; participate in the design, modification, and testing of data processing systems; ensure accuracy of data and compliance with reporting requirements; generates routine and customized reports.

ESSENTIAL FUNCTIONS

ESSENTIAL DUTIES:
1. Compile data and analyze computer output reports and summaries for quality control and accuracy using database management software such as Aeries to prepare state mandated student information reports for systems such as, but not limited to CALPADS and CBEDS.
2. Operate a variety of data processing machines and related equipment such as sorters, printers, and scanners to process District, school and department computer runs and reports; operate a computer and assigned software applications including the assigned student information software system.
3. Receive data from departments and school sites; verify accuracy and completeness of data; input and code incoming data such as grades, testing, class rosters and attendance into assigned computerized system; design database queries using assigned computerized system. 4. Process, assemble and distribute a variety of school, District and departmental reports such as school attendance rosters, testing, grades and student progress reports; prepare and produce master schedules and bell schedules; scan data; prepare printouts.
5. Process data processing requests for a variety of information needed by schools, administrators and outside agencies; assist in establishing reporting time lines; create queries and run various reports as requested by school sites and administrators.
6. Review computer produced reports and documents for completeness, accuracy and compliance with established guidelines; correct errors as necessary.
7. Operate a variety of office equipment including a calculator, copier and fax machine.
8. Communicate orally and through written reports to provide technical support and training to staff in data entry and student information; assist in maintaining and updating training materials; troubleshoot student information system problems; clarify and disseminate information pertaining to program compliance and reporting requirements.
9. Communicate and visit with other departments, administrators, governmental agencies and outside organizations to collect and provide data, exchange information, coordinate activities and resolve issues or concerns.
10. Compose, type, and proofread correspondence such as letters, memos, and data gathering forms to request, disseminate, or verify information; establish and maintain records and files of completed reports and surveys; provide support to assigned work site in the completion of general related data clerical work.
11. Learn new operating systems, utilities, and software; remain current with evolving computer technologies.
12. Attend and participate in a variety of meetings to maintain current knowledge of technological advances in the field.

MINIMUM QUALIFICATIONS

EXPERIENCE:
Two years of experience in database processing within a network environment. One year of experience providing computer technical support (eg - troubleshooting software, training, etc.) to individuals or small teams. Experience with student information systems is highly desirable.

EDUCATION:
Graduation from high school or equivalent.

LICENSES AND CERTIFICATES:
A valid California driver's license and the availability of private transportation or the ability to obtain accessible transportation between job sites is required.

KNOWLEDGE OF:
Capabilities, operations, and applications of data processing systems. Terminology, methods, and techniques of programming work for data processing systems. Data control procedures and data entry operations. Principles and practices of data management. Reporting requirements and compliance issues of student information. Record-keeping techniques.

ABILITY TO: 
Provide technical assistance to District computer systems users. Communicate data processing procedures and requirements to users. Detect errors and ensure data integrity. Communicate effectively both orally and in writing. Operate a variety of equipment including computers, printers, fax, copier and other equipment. Understand and follow oral and written directions. Plan and organize work to meet strict schedules and time lines. Establish and maintain cooperative and effective working relationships with others. Learn, interpret, and apply procedures, documentation, policies, rules and regulations of assigned office. Work independently with little direction. Maintain confidentiality. Maintain records and prepare reports.

DISTINGUISHING CHARACTERISTICS: In addition to performing work related to entering and managing student data and a variety of clerical duties, incumbents in the Senior Data Technician class are assigned lead duties over a single or multiple Data Technicians and school sites. Incumbents in the Data Technician class perform student information duties related to entering student data and a variety of related clerical tasks.
