Essential Job Duties

Under supervision, performs a variety of specialized and general clerical tasks. Gathers and maintains loan files and other pertinent records. Prepares and scans files for Laserfiche. Performs accurate data entry. Assists with file room organization and tracking of all loan files. Participates in the needs-assessment and design of file management system improvements. Tracks housing data for the affordable housing portfolio. Regular attendance is an essential job function. Performs other duties as assigned such as answering phones, taking messages and/or directing phone inquiries in a courteous and professional manner as appropriate. Performs notary public duties upon completion of training and certification.

Qualifications

Education equivalent to high school graduation and three years of responsible clerical/office experience. Must be able to work independently in a fast-paced environment. Must possess strong communication and customer service skills. Experience with Microsoft Word, Outlook and Excel is required. Experience with Laser Fiche is highly desirable. Familiar with housing loan documents is highly desirable as well.

Knowledge of modern office practices and procedures; knowledge of standard business English (spelling, grammar, and punctuation) is required. Ability to exercise and use good judgment in making routine decisions; operate office equipment with speed and accuracy; understand and carry out oral and written instructions; communicate clearly and effectively, especially with members of the public by telephone or in person; and to establish and maintain cooperative working relationships with staff, the public, and other agencies. A professional demeanor and high standards of dependability and punctuality are required.

Additional Information

Possession of a valid California Driver's License and an acceptable driving record, and a reliable insured vehicle is recommended.

Successful candidates must complete a thorough background investigation, including a fingerprint search and physical evaluation prior to appointment.
 
Division management will establish and implement screening criteria to comparatively and fairly evaluate the qualifications of all applicants, based on the application materials submitted and the needs of the Division.  Only those applicants whose qualifications most closely meet the needs of the Division will be invited for an interview appraisal (and written exercise if required).  Those applicants who do not complete the employment application (and supplemental questionnaire) may be disqualified.
