POSITION SUMMARY

Institute for the Future (IFTF) is the world’s leading futures thinking organization. IFTF is now seeking an IT/Office Intern in its office in Palo Alto to help create a pleasant and transformative experience for all those who enter IFTF’s doors—from staff and vendors to Fortune 500 clients and community advocates and organizers. As an Intern, IFTF will provide opportunities for hands-on learning and training in the daily operations of a leading non-profit futures research organization. In this position, Intern will provide technical and operational support of audio-visual equipment and systems, facilitate day-to-day operations of the IFTF common spaces, provide general administrative assistance to its internal staff and community, and educate visitors about IFTF and futures thinking. Through this experience, Intern will gain a working knowledge of office operations, event management, futures research, and general problem-solving skills, as well as develop technical and communication skills.

Ideal candidates will be those who are independent self-starters, proactive and enjoy creating new solutions, have meticulous attention to detail and are continuously self-motivated to improve. We are looking for someone with professional self-management skills, consistent follow-through and who enjoys building relationships across our entire organizational network.

RESPONSIBILITIES

Intern will work in a variety of settings and projects such as:

·      Receive, accommodate, and screen all office guests, including walk-in visitors, phone calls, and email correspondence.

·      Provide logistical day-of support to events, including staffing registration desks, preparing event materials, moving furniture, and addressing guest queries as requested.

·      Understand and implement setup and operation of all audio-visual equipment.

·      Set up, operate, and troubleshoot AV, projection, lighting, conferencing equipment, printers, copiers, devices and systems for all events/corporate meetings.

·      Assist and instruct employees, clients and guests regarding proper usage and operation of AV equipment and monitor equipment operation.

·      Perform general administrative tasks, project work, and data entry.

SKILLS AND QUALIFICATIONS

The ideal candidate will have 1-3 years of prior internship or work experience and possess the following:

·      Exceptional written and verbal communication skills

·      A strong work ethic

·      Excellent organizational skills

·      Attention to detail

·      Ability to handle multiple priorities

·      Ability to work independently with little supervision

·      A friendly, positive, customer service-oriented attitude

·      Proficiency with Mac computers, Microsoft Office (Word, Excel, and PowerPoint), and Google Apps


There will be a strong preference towards candidates who:

·      Have a Bachelor’s degree

·      Are located near Palo Alto

·      Have a familiarity with Salesforce

·      Have an interest in futures thinking and research


TERMS

Intern will be expected to commit between 16 to 40 hours a week at Institute for the Future’s Palo Alto office for a minimum of four calendar months, with a potential for long-term opportunities for high performers. If Intern is enrolled as a student in an academic institution during the internship, a work schedule will be established so that it does not interfere with the academic calendar. Intern will be paid between $15 to $20 per hour, commensurate with experience.
