GENERAL STATEMENT OF DUTIES

Under the direction and the supervision of the principal, the Student Body Account Clerk has the primary responsibility for handling financial matters pertaining to student body funds and to operate the student store.

ESSENTIAL FUNCTIONS

• Maintains efficient operation of the student store by providing customer service to students, cashiering, writing and filing receipts, and distributing purchased items.
• Supervises fundraising drives relative to the school site and maintains revolving accounts holding the raised funds for the organization.
• Handles finances for campus student organizations, including accounting for monies collected and banking such monies.
• Issues checks and maintains records of purchase orders and invoices.
• Supervises and monitors students assisting with ticket sales, cash collections, and student store office activities.
• Prepares, compiles, and reviews financial statements and purchase orders relative to ASB/trust accounts and reports regarding CIF sports funds.
• Orders school-related materials at the beginning of each school year based on proposed sales. • Ensures daily deposits made to bank are conducted in a safe manner.
• Maintains revolving cash funds for each club/organization from which to reimburse school staff for buy-out purchases.
• Attempts to collect on returned checks by communicating with originators to obtain payment.
• Tracks and collects fees from students and signs senior clearance cards based on records of outstanding student fees.
• Collects and organizes records for audit at end of the year.
• Assists all students, teachers, parents, etc., with their inquiries and questions regarding the student store/office.
• Keeps record of locks sold and the corresponding locker combination in case of necessary retrieval by the students.
• Accurately compiles, reviews, and prepares written reports for submission to supervisor or District Administrative officials, as requested.
• Maintains appropriate inventory records and submits orders to replenish inventory as needed.
• Operates modern office machines and equipment such as ten-key adding machine, computer terminal, typewriter, calculator, copier, bar code scanner, coin and bill counter, and point of sale machine.
• Maintains calendar of student body activities and events in order to plan and coordinate the financial activities as required.
• Handles outgoing mail to be sent to vendors, parents, students, administrators, etc., regarding financial matters.
• Types checks to be issued to referees and officials hired to work at school sporting events.
• Reconciles bank statements based on records of deposits and fund transfers that have been filed.
• Performs other duties as requested.

MINIMUM QUALIFICATIONS

KNOWLEDGE of:
Methods and practices of financial record keeping, including basic bookeeping procedures. Record-keeping and report preparation techniques. Modern office practices, procedures, and equipment. Applicable laws, rules, and regulations. Budget preparation and control. Procedures for the collection and disposition of cash. Telephone techniques and etiquette. Computer programs such as Microsoft Word and Excel, as well as accounting software such as Quickbooks or Bluebear. Correct English usage, grammar, spelling, punctuation, and vocabulary.

ABILITY to:
Keyboard at a speed of 30wpm. Communicate using patience, tact, and courtesy. Understand and carry out written and verbal instructions. Make basic arithmetic calculations with speed and accuracy. Plan and prioritize work. Develop and maintain an efficient filing and organizational system. Work independently with little direction. Multi-task with frequent interruptions. Maintain good relations with students, public, and personnel. Cooperatively work with student groups and organizations in a business atmosphere. Prepare and maintain complex financial records, analyze data, and prepare accurate reports. Compare numbers and detect errors efficiently and accurately. Work effectively in stressful situations and a fast-paced environment.
