GENERAL STATEMENT OF DUTIES

Under general supervision, perform varied responsible and complex accounting and clerical work in the preparation and maintenance of accounting, budgeting, accounts payable, accounts receivable, payroll, and attendance accounting.

ESSENTIAL FUNCTIONS

Representative duties in this classification include:

  • Monitor student attendance and prepares associated reports. E
  • Develop and maintain databases and spreadsheets.
  • Contact information technology and/or school sites to clarify discrepancies between attendance reports.
  • Gather, balance, post and transmit attendance data on State software.
  • Maintain accounts receivable, accounts payable, purchase orders, contracts, employee reimbursements, budgetary accounting, wide range of accounting and general accounting.
  • Prepare, schedule and analyze information for internal and external audits.
  • Receive money and maintain records of receipts; make deposits and County office deposits; prepares bank reconciliation.  Review and process credit cards payments to financial institutions.
  • Prepare District, State and Federal required financial, statistical or budgetary reports, and cash deposits as assigned.
  • Assist auditors for the purpose of providing required information and coordinating necessary project activities, assist in year-end closing, and implement auditing procedures.
  • Independently process for payment employee reimbursements, claims from school sites for student body activities, revolving cash fund transactions, field trips, reconcile accounts, claims, financial reports and other items approved by the Board of Education via resolutions.
  • Participate in meetings, workshops, and seminars as assigned for purpose of conveying and/or gather information required to perform functions.
  • Research discrepancies of financial information and/or documentation (e.g., purchase orders, invoices, etc.) for the purpose of ensuring accuracy and adhering to procedures prior to processing for action.
  • Research and complete special assignments related to district financial transactions and prepare reports.
  • Serve as banking liaison between sites and contract bank.
  • Explain policies and procedures related to accounts receivable, accounts payable, purchase orders, contracts, employee reimbursements, budgetary accounting, wide range of accounting, student attendance accounting and general accounting.
  • Other duties assigned by the supervisor will have been effectively accomplished.

MINIMUM QUALIFICATIONS

Education/Experience:
Four years of experience in increasingly responsible financial record keeping and accounting.  College level courses in areas related to this position may be counted towards the experience requirement.
High school diploma or equivalent supplemented by college level coursework in fields related to this position.
 
Special Requirements:
An applicant for this class will be required to obtain, at his/her own expense, and submit his/her motor vehicle driving record at the time of appointment.  The record must meet and be maintained at the district's safe driving record standard.  Failure to meet this requirement will result in the disqualification and/or rejection of the eligible regardless of any other standing.
 
Knowledge of:
Modern office methods and practices and software programs in accounting, word processing and data management.
Understanding of principles, methods, and practices of bookkeeping, financial record keeping and one of the following: payroll, accounts receivable, budgetary accounting and accounts payable.
Interpersonal skills using tact, patience and courtesy.
Financial and statistical record keeping.
Oral and written communication skills, including spelling, grammar and punctuation.
 
Ability to:
Communicate in English effectively in oral and written form and understand and follow oral and written instructions in an independent manner; Perform a wide range of accounting, to multi-task; Work independently with limited supervision; Establish and maintain effective and cooperative working relationships with those contacted in the course of work; Apply laws, rules, regulations, and policies affecting accounting operations; interpret and explain these to District personnel; Understand, carry out and give oral and written instructions in a clear and concise manner; Operate a variety of office machines including computers and related software, typewriter, calculator, copier, fax, communication radios, and other office machines and equipment; Provide excellent customer service and interpersonal skills; Ability to complete complex calculations with speed and accuracy; Drive a vehicle.
