Under the general supervision of the IT Department, perform technical attendance activities providing accurate accounting of student enrollment and attendance records in accordance with provisions of the California Education Code and perform a variety of duties related to the management of student data including but not limited to: supporting the district's Student Information System and assisting with reporting to a variety of outside agencies.


Essential Functions

Coordinate activities involved in the enrollment and attendance accounting reporting system of the District; review a variety of enrollment and attendance reports from individual schools, programs, and teachers; verify accuracy and balances; prepare and distribute summaries; work closely with other staff to resolve discrepancies and achieve accuracy.

Compile District data on enrollment and attendance; ensure accuracy of the balance of attendance figures; provide totals and various breakdowns according to grade level and type of program; prepare various reports required by law.

Operate and assist in providing training to and troubleshooting for employees using the appropriate attendance computer program; provide in-service training of staff members in attendance reporting procedures.

Assist in matters relative to enrollment patterns and history for the purpose of short and long range planning for schools and staffing; prepare enrollment projections as requested; exercise initiative in gathering general educational data, compiling statistical information, presenting trends, interpreting trends, and updating supervisor in regards to the data.

Monitor enrollment and attendance of students to ensure compliance with California Education Code regulations regarding minimum day and class size; generate reports to verify compliance.

Develop attendance accounting and record keeping procedures to allow for audit procedures; perform internal audits of the attendance systems at school sites as necessary to verify accuracy.

Coordinate with appropriate departments to develop timelines and resolve problems.

Respond to inquiries and requests for information regarding enrollment and attendance.

Operate a variety of modern office equipment including computer equipment, calculators, duplicating machines, and other office equipment.

Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of attendance tracking.

Responsible for district ADA reporting and related state reporting.

Act as liaison between the charter schools and ACOE in regards to attendance reporting.

Act as liaison between the district and SIS vendor in regards to attendance and related student data issues.

Maintain and support the student information system as directed by the SIS Coordinator.

Create and provide queries and data reports for end users, and for purposes of meeting CALPADS, CSIS, state and federal reporting requirements.

Assist SIS Coordinator in managing and setting up the SIS summer school database.

Knowledge of:

Principles, methods, and procedures used in planning, coordinating, and standardizing reporting systems.

Modern office practices, methods, and equipment including computer equipment.

Principles of business letter writing.

Principles and procedures of record keeping.

Principles and practices of data collection and report preparation.

Common database, spreadsheet, word processing and student information system programs.

Basic mathematical and accounting principles.

Skills To:

Operate modern office equipment including computer equipment, calculators, duplicating machines, and other related office equipment

Learn the operations, services and activities of the District.

Learn and apply the policies, procedures, laws, and regulations pertaining to assigned programs and functions including sections of the Education Code applicable to attendance record keeping.

Learn the operational characteristics and procedures of applicable computer attendance programs.

Plan, coordinate, and standardize a centralized enrollment and attendance reporting system.

Perform responsible and difficult administrative and specialized clerical work involving the use of independent judgment and personal initiative.

Independently prepare correspondence and memoranda.

Compile and tabulate data and information.

Maintain and prepare complex, extensive, and confidential records and reports.

Perform mathematical computations.

Work effectively and efficiently under pressure with constant interruptions.

Respond to requests and inquiries for information regarding school and District policies and procedures.

Plan and organize work to meet schedules and deadlines.

Understand and follow oral and written instructions.

Communicate clearly and concisely, both orally and in writing.

Education & Experience Requirements

Experience and Training Guidelines:
Experience:
Three years of responsible clerical and/or accounting experience involving statistical record keeping and reporting including some exposure to school and community programs.
 
Training:

Equivalent to a high school diploma.

Special Requirements:

Essential duties require the following physical skills and work environment:

Ability to work in a standard office environment.

Selection Process

The examination process for this recruitment may be comprised of one or any combination of the following:  screening of the applicant's training, background, and experience; scored evaluation of responses on a supplemental application; written examination(s); qualifications appraisal oral examination; performance examination; or technical oral examination, scored on a job-related basis.  Only the most highly qualified candidates will be invited to continue in the examination process.  Successful candidates who pass all parts of the examination process will be placed on the eligibility list in order of their relative merit as determined by these competitive examinations.

Oral Board Exam: Wednesday, September 19,2018

Dates are tentative, but it is highly recommended that you plan your calendar accordingly. No Make-up dates will be offered. 

OTHER IMPORTANT INFORMATION: The duration of the eligibility list is one (1) year unless extended by the Personnel Commission. The eligibility list from this recruitment will be used for full-time, part-time and limited term positions. 

New employees to the district are placed on step A of the salary schedule. The maximum salary is reached after 3 1/2 years of employment.

Recruitments that list Promotional and Open Competitive opportunities may result in one of the following 1) a dual-certified list in which internal employees of the San Lorenzo Unified School District are awarded seniority points to their final passing score before placement on the eligibility list, or 2) two separate eligibility list consisting of candidates on a promotional only list and an open list. In the latter case, candidates on the promotional list are referred to the hiring authority before candidates on the open. However,  where less than three ranks exist on the promotional list, the open list will be utilized to complete a total of three ranks.
